What You'll Do:
We are hiring a Legal Affairs Administrator at our corporate office in Birmingham, AL! In this role you will help the company's legal department manage its outside counsel relationships by analyzing legal spend across matter types, geographies, and firms. You will also assist with approval of legal invoices and payment of bills. Candidates who show appropriate aptitude will have the opportunity to support attorneys and business development professionals with financial analyses associated with potential business opportunities.

Responsibilities Include (but are not limited to):
Manage Law Firm Invoices via CounselLink. Establish new matters, manage invoice approval workflows, create reports, assist Vulcan's in-house attorneys with enforcement of outside counsel policies and monitoring of outside counsel budgets, and oversee payments to law firms using CounselLink.

Manage contracts and payments. Manage vendor, organization, and subscription contracts and payments.

Draft Legal Documents. Prepare the first draft of routine documents.

Create charts using Excel. Create basic to intermediate charts in Excel.

Create Presentations. Prepare PowerPoint presentations, including preparing and incorporating charts created from Excel.

Manage Files. Utilize electronic document management systems, e.g. eDOCS, for file management and litigation file management.

Manage Service of Process Procedure. Manage the service of process procedure on the company's behalf, including notifying the responsible internal attorneys and ensuring appropriate business units are apprised of new litigation.

Manage Invoice Approval Process. Manage department's internal invoice approval process, including taking ownership of accurate accounting codes, Oracle processes, and otherwise ensuring processing of invoices, etc.

Maintain Company Knowledge. Maintain a working knowledge of the company, its operating divisions, its subsidiaries, its procedures, and key internal client contacts. Stay abreast of any changes in legal department procedures.

Provide Administrative Support. Perform clerical tasks as needed. Organize calendars and schedules for the department. Process expense reports and invoices. Manage meeting and travel arrangements.



Qualifications

Skills You'll Need:
Education. Must have a high school diploma or equivalent; Bachelor's or Associate's Degree preferred but not required.

Experience. Must have a minimum of 3 years of relevant experience, preferably experience working with data analysis, budgeting, and CounselLink or similar legal invoicing program. Intermediate or greater proficiency in CounselLink or similar program strongly preferred.

Technology Skills. Must have superior Microsoft Office skills, including Word, Excel, PowerPoint, and Access. (Proficiency in Google Mail, Google Calendar, and Google Hangouts a plus). Data analytics software capability/knowledge such as Tableau or Power BI is a plus, also. Must have the ability to learn and effectively use new software applications and internet-based programs quickly.

Writing Skills. Must have strong writing skills, exhibiting good command of the English language and excellent grammar skills.

Interpersonal Skills. Must exhibit a professional appearance and demeanor. Must have outstanding communication skills and demonstrate the ability to communicate effectively with personnel at all levels within and outside of the company.

Time Management Skills. Must have the ability to work quickly and under the pressure of multiple deadlines. Must have the ability to manage conflicting priorities.

Functional Knowledge. Must have knowledge of the format of legal documents, including contracts, briefs, and pleadings. Must understand technical legal terminology.

Confidentiality. Must have the ability to maintain highly confidential information in the strictest of confidence. Must display high ethical standards, professional integrity, and discretion.
